Terms of Service and Privacy Policy
By using EasyGuild you agree to the Terms of Service and Privacy Policy below. Please read them carefully.
Terms of Service
1. Purpose of the service
EasyGuild (the "Service") is a web platform that lets players of online games create and manage guilds: member registration, role and permission management, scoring and guild points, an event calendar with attendance tracking, an internal points shop, and loot-split tracking among members. By using the Service you fully accept these Terms of Service. The site and the Service's code were developed with the support of artificial intelligence tools.
2. Registration and account
To use the Service you must create an account with a valid email address and password, or sign in with your Discord account (OAuth2). You are responsible for keeping your credentials confidential and for all activity carried out through your account. You must be at least 16 years old to register; if you are younger, you may only use the Service with the consent of a parent or legal guardian.
3. Signing in with Discord
If you choose to sign in with Discord, EasyGuild receives your Discord user ID, username, and profile picture (avatar) from Discord, according to the permissions you grant when linking your account. The link remains subject to Discord Inc.'s own terms of service.
4. Guilds, roles, and user-generated content
Whoever creates a guild becomes its owner ("Owner") and may appoint officers ("Officer") with specific permissions. Each member is responsible for the content they submit (names, descriptions, messages, shop items, events). Submitting unlawful, offensive, defamatory content or content that infringes third-party rights is prohibited. EasyGuild may remove content or suspend accounts that violate these Terms.
5. Guild points, internal shop, and loot split
"Guild points", internal shop items, and amounts recorded in the loot split feature are virtual in-game resources managed by each guild's administrators. They have no real monetary value, are not convertible into money, and are neither guaranteed nor issued by EasyGuild: their allocation depends solely on the internal rules set by each guild's owners and officers.
6. Paid plans and subscriptions
EasyGuild offers optional paid plans (Base and Pro) that unlock additional features, billed on a recurring monthly basis. Payments are processed by our third-party provider, Stripe; EasyGuild never receives or stores your card details. The subscription renews automatically at each billing cycle until cancelled; you may cancel at any time from your account settings, and cancellation takes effect at the end of the current billing period. By activating a paid plan, you expressly request that delivery of the digital content begin immediately, thereby waiving the 14-day right of withdrawal that would otherwise apply to digital content under applicable EU consumer law.
7. Suspension and termination
EasyGuild may suspend or delete an account in case of a breach of these Terms, fraudulent use of the Service, or a request from a competent authority. You may request deletion of your account at any time by writing to the address in the Contact section.
8. Limitation of liability
The Service is provided "as is". To the extent permitted by law, EasyGuild is not liable for indirect damages arising from use of the Service, from service interruptions, loss of in-game data, or disputes between guild members concerning points, internal shop items, or loot split.
9. Changes to these Terms
These Terms may be updated to reflect changes to the Service or applicable law. Material changes will be communicated through the Service or by email; continued use after publication constitutes acceptance of the updated Terms.
10. Governing law and jurisdiction
These Terms are governed by Italian law. For disputes with consumer users, the competent court is that of the consumer's place of residence or domicile, if located in Italy; in all other cases, the courts of the Service owner's place of residence have exclusive jurisdiction.
Privacy Policy
1. Data controller
The data controller is the operator of EasyGuild, reachable at [email protected]. The site was developed with the support of artificial intelligence tools.
2. Data we collect
We process: account data (username, email address, hashed password); Discord data (user ID, username, avatar) if you sign in with Discord; guild membership data (role, points, event attendance, points transactions); data related to the internal shop and loot split (purchases, bids, recorded amounts); subscription billing data (active plan, payment status) handled via Stripe; technical session data (authentication cookie, IP address, server logs) necessary to operate the Service; anonymous visit statistics (page visited, language, referring site, device type), collected without cookies and without storing your IP address.
3. Purposes and legal basis
We process your data to: provide and operate the Service and perform our contract with you (Art. 6(1)(b) GDPR); manage account authentication and security (Art. 6(1)(b) and (f) GDPR); process subscription payments (Art. 6(1)(b) GDPR); comply with legal obligations, e.g. tax obligations (Art. 6(1)(c) GDPR); respond to your support requests (Art. 6(1)(b) GDPR); measure site usage anonymously to improve it (Art. 6(1)(f) GDPR); show ads to home page visitors and Free plan users, personalized only with your consent (Art. 6(1)(a) GDPR).
4. Payments and Stripe
Subscription payments are processed directly by Stripe, Inc., which acts as an independent data controller for the payment data it collects (card number, expiry date, CVV). EasyGuild has no access to this data and receives from Stripe only the transaction outcome and non-sensitive information about the active plan. For details on how Stripe processes data, see Stripe's own privacy policy.
5. Cookies
The Service uses a single technical httpOnly cookie needed to maintain your login session (authentication token). On the sign-up page we use Cloudflare Turnstile to protect the Service from bots and abuse: the check may process technical browser and device data (such as IP address and browser characteristics) solely for security purposes, without profiling. Fonts are hosted on our own servers, with no requests to external services. These tools are strictly necessary and do not require prior consent. Signed-out visitors to the home page and, inside the signed-in area, Free plan users see Google AdSense ads (Google Ireland Limited). Google and its partners may use cookies and similar identifiers to serve ads, measure their performance and, only with your consent, personalize them based on your visits to this and other websites. Consent is requested through a banner managed by Google before any advertising cookie is used, and you can change it at any time. You can opt out of personalized ads in Google's Ad Settings (adssettings.google.com); to learn how Google uses data, see policies.google.com/technologies/partner-sites. For users in the United States, personalized ads are on unless you opt out: you can ask that your personal information not be sold or shared for advertising through the "Do not sell or share my personal information" link shown on the site. Base and Pro plan users see no ads. For visit statistics we use an in-house tool that sets no cookies and uses no third-party analytics services: it records the page visited, language, referring site, device type and a code computed from your IP address and browser that changes every day. Your IP address is not stored and the code does not let anyone identify you or follow you from one day to the next, so your consent is not required. We do not use third-party analytics cookies.
6. Data retention
Account data is retained for the duration of the relationship and deleted, unless a different legal obligation applies, within 30 days of an account deletion request. Database backup copies, kept solely for security and recovery purposes, are deleted on a rolling basis: deleted data may therefore remain in backups for up to 60 additional days, without being used for any other purpose. Technical logs are retained for a maximum of 12 months. Anonymous visit statistics are retained for a maximum of 14 months. Payment-related tax data is retained for the period required by applicable tax law.
7. Sharing data with third parties
Your data may be shared with: Discord Inc. (USA), limited to linking your account, if you choose to sign in with Discord, and to running the EasyGuild Discord bot in the servers of guilds that install it; Stripe, Inc. (USA), for payment processing; Cloudflare, Inc. (USA), for website delivery, protection against cyberattacks, and bot protection via Turnstile; Brevo (Sendinblue SAS, France), for sending service emails (address verification, password reset, account notices); Google Ireland Limited (Ireland) and Google LLC (USA), for serving AdSense ads to home page visitors and Free plan users, as described in the Cookies section; hosting and technical infrastructure providers that process data on our behalf as data processors. For providers based in the United States, data transfers rely on the EU-U.S. Data Privacy Framework or on the Standard Contractual Clauses approved by the European Commission. We do not sell your data to third parties.
8. Your rights
As a data subject you have the right to access, rectify, erase, restrict, and object to processing, as well as the right to data portability, under Articles 15-21 GDPR. You can exercise these rights by writing to [email protected]. You also have the right to lodge a complaint with your national data protection authority (in Italy, the Garante per la protezione dei dati personali, www.garanteprivacy.it).
9. Security
We adopt appropriate technical and organizational measures to protect your data, including password encryption (bcrypt hashing), httpOnly session cookies, encrypted connections (HTTPS), rate limiting of login attempts, regular encrypted database backups on a storage device separate from the server hosting it, and system access restricted to the Controller only. In the event of a personal data breach likely to result in a risk to your rights, the Controller will notify the competent supervisory authority within 72 hours of becoming aware of it and, where the risk is high, will inform affected users without undue delay, in accordance with Articles 33 and 34 GDPR.
10. Changes to this notice
This notice may be updated periodically. Material changes will be communicated through the Service or by email.
